Data Removal & Correction

Professional Football Contacts (“PFC”) respects the rights of football professionals whose professional information may appear within our products and database.

If information relating to you is held by Professional Football Contacts, you may contact us to:

  • request correction of inaccurate information;

  • update outdated professional information;

  • object to our use of your information;

  • request restriction of processing;

  • request removal of your information from our active database and products;

  • ask what personal information we hold about you; or

  • ask where we obtained information relating to you.

This page explains how to make a request and what happens after we receive one.

1. Who Can Make a Request?

You can make a request if Professional Football Contacts holds personal information relating to you.

For example, you may be:

  • an academy staff member;

  • a scout;

  • a recruitment professional;

  • a coach;

  • a member of football operations staff;

  • an employee of a football club or football organisation; or

  • another identifiable professional included within our contact information.

A football club or organisation may also contact us if it believes professional information relating to one of its staff members is inaccurate or inappropriate.

Where a request concerns the personal information of another individual, we may need confirmation that you are authorised to act on their behalf.

2. What Can I Request?

Correction

If information about you is inaccurate or outdated, you can ask us to correct it.

Examples include:

  • an incorrect job title;

  • an incorrect department;

  • an incorrect football club;

  • an outdated professional email address;

  • an incorrect telephone number;

  • a role you no longer hold; or

  • another factual error.

Removal

You may request that your professional contact information is removed from the active Professional Football Contacts database and future versions of our products.

We will assess removal requests in accordance with applicable data-protection law.

Objection

Professional Football Contacts generally relies on legitimate interests when processing professional contact information obtained from professional or publicly accessible sources.

You have the right to object to processing based on legitimate interests in circumstances provided by UK data-protection law.

When making an objection, it is helpful to explain why you believe our processing affects you or why you do not want us to continue using your information.

We will consider your circumstances when assessing the objection.

Restriction

You may ask us to temporarily restrict our use of your information in circumstances provided by law.

For example, restriction may be appropriate while:

  • we investigate whether information is accurate;

  • we investigate an objection to our processing; or

  • another relevant data-protection issue is being considered.

Access and source information

You may also ask:

  • whether we hold personal information about you;

  • what personal information we hold;

  • what purposes it is used for;

  • where we obtained it; and

  • other information available to you under applicable data-protection law.

3. How to Submit a Request

Use a subject line such as:

Data Correction Request

To help us locate the correct record, please provide as much of the following information as is reasonably necessary:

  • your full name;

  • your current or previous football club or organisation;

  • your professional role;

  • the email address or contact information concerned;

  • whether you are requesting correction, restriction, objection or removal;

  • details of anything you believe is inaccurate; and

  • where possible, the relevant PFC product or club listing.

You do not need to use any particular legal wording.

A request will not be rejected simply because you do not mention the UK GDPR or a specific data-protection right.

4. Identity Verification

We need to make sure that we do not change, disclose or remove someone's information because of a fraudulent request from another person.

We may therefore ask for reasonable information necessary to confirm:

  • your identity; and/or

  • your connection with the professional information concerned.

We will only request information that we reasonably consider necessary for verification.

For example, we may be able to verify a request through a professional club email address or other information already available to us.

We will not ask for excessive identification where a less intrusive method of verification is reasonably available.

5. What Happens After We Receive a Request?

We will review the request and identify the relevant record.

Depending on the request, we may:

  1. locate the information concerned;

  2. review where the information was obtained;

  3. review whether the information remains accurate;

  4. consider our lawful basis for continuing to process it;

  5. consider any reasons you have provided;

  6. restrict use of the information while the request is being assessed where appropriate; and

  7. decide whether the information should be corrected, restricted, removed or otherwise updated.

We may contact you if we reasonably need additional information to understand or process your request.

6. What Happens While an Objection or Accuracy Challenge Is Being Reviewed?

Where appropriate, we may temporarily restrict or suppress the relevant professional contact record while we investigate.

This means that we may prevent the information from being included in new or updated products while the issue is being considered.

In particular, restriction may be appropriate where:

  • you dispute the accuracy of information and we are checking it; or

  • you object to processing based on legitimate interests and we are considering whether there are lawful grounds for continuing.

Where processing is formally restricted under applicable data-protection law, we will handle the restricted information accordingly.

7. If We Agree to Remove Your Information

Where we determine that your professional contact information should be removed, we will take appropriate steps to remove or suppress it from:

  • our active professional contact database;

  • future versions of relevant contact products; and

  • other active systems under our control where removal is appropriate.

Where applicable law requires us to inform recipients to whom the relevant personal information was previously disclosed of a rectification, erasure or restriction, we will take reasonable steps to do so unless this is impossible or would involve disproportionate effort.

If you ask us, we will provide information about relevant recipients where required by applicable data-protection law.

8. Previously Downloaded Products

Some Professional Football Contacts products may be supplied as downloadable digital files.

Once a customer has downloaded a file to a device outside our control, we may not have the technical ability to remotely alter or delete that customer's copy.

However, this does not remove any obligations that may apply to us under data-protection law.

Where we are required to notify recipients about a correction, erasure or restriction, we will take the steps required by applicable law, subject to any applicable exceptions such as where doing so would be impossible or involve disproportionate effort.

We will also ensure that removed information is not knowingly included in future versions of the relevant PFC products unless there is a lawful reason for doing so.

9. Suppression Records

In some cases, after removing a professional contact from our active database, we may retain a minimal internal suppression record.

The purpose of this record is to prevent the same professional information from being unintentionally added back into our database during a future review.

For example, a suppression record may contain limited information such as:

  • name;

  • football club or organisation;

  • professional email address or another identifier;

  • date of removal; and

  • a record that the information should not be reintroduced.

A suppression record is not used to continue advertising, publishing or selling your professional contact information.

It exists to help us respect your objection or removal request in the future.

We will limit suppression information to what is reasonably necessary for that purpose.

10. If Your Information Is Inaccurate

If we determine that information about you is inaccurate, we will take reasonable steps to correct or remove it.

Depending on the circumstances, this may involve:

  • correcting your professional role;

  • changing your organisation;

  • updating a professional contact address;

  • removing an obsolete contact;

  • replacing information with more accurate information; or

  • removing the record altogether.

Where inaccurate personal information has been disclosed to recipients and applicable law requires us to notify them of the correction, we will take appropriate steps to do so.

11. How Long Will a Request Take?

We aim to deal with requests promptly.

Where a request involves the exercise of a right under UK data-protection law, we will normally respond without undue delay and within one calendar month of receiving the request, subject to applicable law.

If we reasonably need further information to verify your identity, the applicable response period may depend on when that information is received.

In certain circumstances, particularly where a request is complex or multiple requests have been made, data-protection law may allow additional time.

Where an extension applies, we will inform you within the initial response period and explain why additional time is required.

12. Will You Always Remove Information When Asked?

Some data-protection rights are not absolute.

For example, the right to erasure does not apply in every circumstance, and an objection to processing based on legitimate interests does not automatically require processing to stop in every case.

Where we rely on legitimate interests and you object to processing, we will consider your individual circumstances.

If applicable law permits us to continue processing because we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or because processing is necessary for the establishment, exercise or defence of legal claims, we may decline the request.

However, Professional Football Contacts takes objections relating to inclusion in our commercial professional contact products seriously.

Where there is no sufficient reason for us to continue processing your information, we will remove or restrict it as appropriate.

13. If We Refuse a Request

If we decide that we cannot comply with all or part of a request, we will explain our decision where required by law.

We will also provide information about the options available to challenge that decision, including the right to complain to the Information Commissioner's Office where applicable.

We will not refuse a request merely because complying with it is inconvenient.

14. Direct Marketing

If Professional Football Contacts ever uses your personal information for direct marketing, you have the right to object to that use at any time.

The right to object to processing for direct-marketing purposes is absolute.

If you object to direct marketing, we will stop using your information for that purpose.

This is separate from an objection to the inclusion of professional contact information within our professional contact database.

You do not have to contact Professional Football Contacts before making a complaint to the ICO.

16. Our Approach to Removal Requests

Professional Football Contacts aims to operate a useful professional information service while respecting the rights of the people whose professional information we process.

We therefore aim to make correction and removal straightforward.

Our approach is:

Identify → Review → Restrict where appropriate → Correct or Remove → Suppress where necessary

We do not intentionally reintroduce a professional contact that has been removed following an upheld objection or removal request.

We also encourage football professionals and organisations to contact us if they identify outdated or inaccurate information, even where they do not wish to request complete removal.
